Club and Player Responsibilities

1. FEE STRUCTURE
Clubs are required to pay the West Gippsland Hockey Association Inc. the following fees to register their teams in the Association competition.
  • Under 9s $80.00 per team
  • Under 11s, Under 13s, Under 15s, Under 17s $420.00 per team
  • Mens and Womens $710.00 per team

  • Clubs are required to pay these fees to the Treasurer by the end of Round 3.

    2. PLAYER REGISTRATION

    New Players

    All new players are required to complete a player registration form provided by your club. The club will then forward your details to the WGHA.

    Current Players

    Current players are required to update their registration details each year.

    Player Transfers

    Players desiring to transfer from one club to another shell not play a match for their new club until they have obtained a written clearance from their former club and permission from the committee (or executive).

    Players Lists

    A list of all players from all clubs is to be sent to the WGHA secretary by 14th May 2011 (Round 3).


    3. NOTICE BOARD
    Please read the notice board outside the pavilion every week to keep you informed of any changes to fixtures, rosters, the ladders and other important news.

    4. FIRST AID KITS
    Coaches, Team Managers and Players are reminded that:
    · Blood spills kit is available in the pavilion.
    · Ice packs are available in the freezer in the clubrooms.
    · Clubs will continue to be responsible for providing first aid kits for all other first aid needs for their members during the competition. (It is recommended that each club have its own ice pack/s stored in each clubs draw of the ice freezer in the clubrooms.)
    · The first aid kits owned by the Association will be available for use only for Inter Association and other representative teams.

    5. NEWSLETTERS AND COMMUNICATION TO CLUBS AND PLAYERS
    · Weekly information such as newsletters, nomination forms etc, will be placed in a team folder which will remain in the pigeon holes in the club room.
    · Team managers should collect such information from their folder prior to each match.

    6. MATCH BALL
    · The first named team is responsible for providing the match ball for each game.


    7. UMPIRING
    As always, let?s treat the umpires with courtesy and respect. Umpiring is a difficult job and players should support all umpires at all times.
    · The future and success of the competition depends on the willingness of people to umpire games.
    · Clubs will be expected to provide an umpire for each grade in the match their team is not playing in.
    · Games have been allocated based on the number of teams each club has in the competition.
    · Clubs who do not provide umpires for the games they have been allocated will be fined as specified in the Bylaws.
    · In the situation of a rostered umpire arranging a substitute who fails to meet the umpiring commitment, any penalty will be applied to the club of the rostered umpire.

    8. WET WEATHER MATCH CANCELLATIONS
    In the event of wet weather, games may be postponed / cancelled at the recommendation of the Grounds Coordinator & Umpires Convener if available and endorsed by the Executive. They will ring a representative from each club when such a decision has been made. It will be the clubs responsibility to contact team representatives who will in turn contact individual team members.


    9. DUTY TASKS
    During the season Clubs will be allocated the task of setting up the fields and packing up at the end of the day. Tasks to be done include:

    Beginning of Day - Clubs on Duty will need representatives at the ground by 8.00am to allow time to complete these tasks.
    • Mark lines on selected grass fields
    • Setting up goals, nets & corner posts
    • Placing toilet paper in all toilets
    • Set up of half fields for Under 9 games
    • Vacuuming of the club rooms
    • Put out rubbish bins with grabage bags
    • Set-up a practice goal and net at the
    • Place field numbers on the grounds to be used
    • Hang the notice board on wall outside
    • Clean leaves from synthetic surface
    • Setup PA system and speakers


    During Day
    • Time Keeping
    • Pack up half fields after Under 9 games
    • Help in Canteen
    • Empty full bins


    End of Day
    • Sweeping pavilion
    • General clean up of fields
    • Putting away goals
    • Packing up corner posts and flags
    • Sweeping toilets, changing rooms and pavilion
    • Emptying rubbish bins and return to store room
    • Locking pavilion, canteen and gate
    • Picking up lost property
    • Put away PA system
    • Bring in notice board
    • Put away nets



    10. COMPLETION OF MATCH BOOK
    (See example)
    · Each Team Manager/Captain will be supplied with a Match Book.
    · It is the captains/team managers responsibility to ensure this book is completed correctly and signed by both captains and umpires at the end of the game.
    · Write your own team?s name first at top of the page.
    · Please write clearly the following;

      • NAMES IN FULL (Surname first & Christen name last)
      • PLAYERS CORRECT SHIRT NUMBER
      • INDICATE WHO WAS GOALIE for the GAME.

    · DO NOT INCLUDE NAMES OF PLAYERS WHO DID NOT PLAY
    (cross them out if they didn?t play)
    · Completed Match Book Sheets must be placed in the container provided in the clubrooms at the end of the game.
    · Injury reports need to be included on match sheet reports.
    · The Bylaws provide for clubs to be fined for failure to complete Match books correctly.

    NOTE;
    It is important that this information is true, correct, clear and decisive as this is the information that is cross referenced with the MVP votes.
    If the information is not correct in any way and a player has been awarded votes by the umpires, they may miss out in receiving these points.
    This in turn may alter the count at the end of the season and could be the difference in receiving any awards that a player could have been eligible for. (This could be you)

    Please ensure that all the above mentioned points are followed as it makes the Match Convener?s job a lot easier. Penalties will apply as per By-Laws for incomplete and/or incorrect score sheets handed in.

    11. PRESS REPORTS
    • All press reports are to be completed by each Club and emailed to the
      WGHA Press and Publicity co-ordinator at reports@wgha.asn.au strictly by
      no later than the Sunday (3:00pm) immediately following the round completion.
